ABOUT THE ROLE

The Facility Assistant assists with the day-to-day maintenance and improvement needs of the Association’s owned and leased offices.  Assists with administering the auto fleet, office equipment and furniture purchases, developing budgets, contracts and reporting.   Coordinates facilities and maintained activities with offices and departments.  The Facilities Assistant will also assist in maintaining the Association’s Business Continuity and Safety programs. 

ESSENTIAL DUTIES:

1. Assist with the maintenance of owned and leased facilities including security and alarm systems, janitorial, HVAC, electrical, plumbing, landscape maintenance, waste disposal, utilities, pest control, elevators and all structural, remodeling and regular maintenance needs. 


2. Assist in administering the auto fleet including ordering, registration, tax exemption process, and sale or disposal of vehicles. Assist in employee’s insurance claims, vehicle maintenance, and vehicle mileage logs. 


3. Assist in the preparation of the annual budget.


4. Assist with the planning and coordination of new building projects, remodel projects, and office moves.


5. Assist in obtaining and maintaining maintenance contracts and other related agreements for facilities and equipment. Conduct facilities inventory audits


6. Provide administrative support including researching, reporting, reviewing contracts and analyzing information.  


7. Coordinate annual safety review activities including planning, information gathering, data entry, emergency response plan revisions, coordinate emergency response team training, drills, and prepare safety-meeting materials.  


8. Assist in completing Risk Assessment and Business Impact Analysis.  


9. Assist with development and maintenance of departmental business continuity plans, including  updates, plan distribution, and exercise planning and preparation. 


10. Performs other duties as assigned.

TYPICAL EDUCATION AND EXPERIENCE:

1. High school diploma, plus two years of post high school education or equivalent.


2. Experience with the design and installation of modular systems furniture.


3. CAD/AutoCAD experience is required.


4. Three or more years related experience performing similar functions.


5. Knowledge and experience with basic bookkeeping skills and procedures. 


6. Strong written, verbal and interpersonal skills.


7. Ability to work independently.  Demonstrated ability to organize and prioritize work to meet deadlines.


8. Demonstrated ability to generate highly accurate work.


9. Proficient in the use of Microsoft Office including Word, Excel, PowerPoint and Outlook.  Internet research skills required.  Ability to adapt to changing technology.

ESSENTIAL REQUIREMENTS

Must have the ability to perform basic office tasks, work in an office or outdoor setting and be able to sit at a desk and work at a computer for an extended period. This job regularly requires the employee to visit job sites and must be able walk, sit, crouch, kneel, crawl,  reach, and be able to lift up to 40 pounds. Ability to navigate around construction equipment and business materials is required. Must have the ability to walk for some distance, more than a mile, during or getting to an inspection.  Must have strong written and verbal communication skills to adequately convey ideas and work well with a team. Ability to talk and hear, sit and use their hands and fingers, and reach in all directions is essential in performance of the job. Some travel required and must have a valid C Class driver’s license.  Work during established business hours and may require occasional weekend and/or evening work.
