Job Description

Heritage Land Bank is a leading rural real estate and agribusiness lender in East Texas.  Our total loan portfolio is over $420 million and our loans consist of poultry, livestock, nurseries, timber, crops, recreational property, and country home loans.  Established 100 years ago, Heritage Land Bank is a locally owned and operated financial cooperative (Agricultural Credit Association), which is part of the Farm Credit System and the Tenth Farm Credit District.  Our Corporate Office is located in Tyler, Texas and we operate ten branch offices.

Job Scope

Assists management in the overall administration of the credit function. Performs a variety of moderately complex administrative duties requiring some independent judgement and analysis; works under moderate supervision.

Essential Functions

  • Provides general administrative support including sending emails, typing, copying, scanning, sorting, filing, mailing, saving documents to SharePoint, etc.
  • May prepare manuals and materials for training classes and conferences.  Assembles and coordinates correspondence and reports as needed for training, board meetings, committee meetings, conferences and other events. 
  • Assists customers and the general public on a wide variety of matters.  Receives and greets visitors and guests.  Gives information and assistance to callers from within the Association, the general public, and other managers and outside organizations, representing the Association in a professional manner.  Assists callers in resolving problems or locates the appropriate person for assistance.  Places calls and arranges for conference calls upon request.
  • Prepares internal reports for distribution on behalf of the credit department.  Enters data into information systems from a variety of source documents.  Retrieves information when needed.  Proofreads documents.
  • Compiles weekly credit pipeline for distribution to the branches. Sends reports to the branches including the monthly past due loan report and the YBS exception reports.
  • Maintains the appraisal workflow pipeline. 
  • Maintains a database of territorial concurrence approvals / denials. Prepares and sends territorial notification letters.
  • May pull credit reports and flood determinations, enter data into ADS II, and request loan documents.  May occasionally work with appraisers and title companies.
  • Assists with periodic audits of branches to assure compliance. 
  • Compiles YBS reporting for annual business plan, FCBT, and FCA questionnaire.
  • Works on database items for the branches and the Corporate office including the prompt collection of insurance policies and monitoring of past due property taxes for customers.
  • Provides information as requested for internal and external credit reviews, FCA, FCBT, etc.
  • May coordinate travel arrangements, meetings and prepare monthly expense reports.
  • Acts as an alternate Collateral Custodian. May serve as a backup to Ag Online Banking.
  • Assists with public relations functions as assigned.

Education and Experience Requirements

High school diploma or equivalent and three (3) to five (5) years of experience planning, organizing, and coordinating administrative support activities in an office environment. General knowledge of office equipment and systems used for the storage and retrieval of business information.  General knowledge of standard records management and file classification practices.  Specialized knowledge of written correspondence principles.  Skill in oral and written communication.  Intermediate skill level in Microsoft Office applications.  Attention to, and accuracy in, details and written correspondence is required.  Must maintain confidentiality of all information marked or stated as “confidential”, “personal”, or otherwise classified.
